Founded in 1993, Millwood Servicing is a family run business that specialises in passive and active fire safety systems, fire risk assessment and fire safety training courses. They also offer design and installation of fire safety, electrical and lighting solutions, complimented by an ongoing maintenance and response service.
Challenges
Document changes were difficult to track
Millwood’s health and safety documents were easy to access and available online to all team members, however there were a couple of downsides which often caused an administration headache for Leanne Marsh, Millwood’s Health and Safety Officer. It was difficult to track who had read and understood the documents relevant to their role. It also meant that anyone in the business could potentially edit these documents, no matter if they were a Competent Person or not. This of course posed a risk to the validity of documentation and version control.
Working across multiple sites
When working with several team members across different sites and then adding to that a constant flow of subcontractors, Leanne points out that it was difficult to easily share RAMS, accident reports and training records with all members of staff who often had to travel into the office just to make sure their documents were up to date.
Clumsy e-learning system
Previously, Millwood were housing their health and safety documents in online shared documents and using a separate e-learning supplier for their training needs. They found their learning system clumsy, difficult to manage and it also meant staff having to remember how to use multiple systems.
Prior to CRAMS, our health and safety systems consisted of RAMS saved directly to our shared folders – accessible and able to be edited by anyone. We were not easily able to track who was actually reading them.

How CRAMS has helped
With CRAMS, all Millwood’s health and safety data is now even more easily accessible. All team members and sub-contractors can log in from any internet-enabled device and see the documentation relevant to them and their roles at the click of a button. What’s more is that with CRAMS’ user role functionality, grouping team members into categories – Competent Person, Admins and Users, only the appropriately trained and qualified people are able to edit and update CRAMS documents. This ensures that Millwood can be confident that their documents are correct, compliant and meet regulations.
CRAMS has completely changed the way we monitor and record all health and safety obligations within our company. All information is to hand and easily accessible, only allocated people can edit RAMS to ensure the information is correct and compliant and having everything under one login saves so much time for everyone.

Helping Millwood through the process

Now everything is housed within CRAMS, team members can easily log in and complete all their compliance documents and training in one go. They can check what RAMS have been assigned to them, read and acknowledge them, then complete any associated training modules. This means that for Millwood Servicing Ltd, managing compliance and competency has never been easier. CRAMS offers them the complete solution for health and safety compliance in a modern world.
Quick and easy communication
No longer do they have to rely on staff coming into the office to sign off documents that have been newly created or recently changed. They also particularly like the functionality to be able to share newsletters and minutes from internal health and safety meetings to ensure all staff are up to date.
Creating a health and safety culture
Millwood have found that the simplicity of the system and the risk assessment monitoring alongside inclusive eLearning modules mean that all staff are fully aware of their health and safety obligations and able to raise concerns. This in turn creates a culture of safety within the business with all staff members able to take their responsibilities seriously. Managers are able to support their staff correctly with up to date information on their competencies, allowing them to rectify issues as soon as they arise.
Every single member of staff is now fully aware of their health and safety obligations and how to raise any concerns or issues they may have. The CRAMS platform has been invaluable in helping us to achieve this. The CRAMS team are super helpful, super friendly and always able to pick up the phone or an email should we ever need assistance!
